1. Receptions Services

Provide a welcoming approach to all visitors, accommodating the visitors, identifying the host and facilitating collection. This includes logging in and out.

Client visitors and referring them to reception. Issue of entry passes and providing visitors with a clear, comfortable and understanding of the rules governing access to host or the building. All staff will be appropriately presented at all times with standard uniform

2.Conference and meeting room

Provide a comprehensive booking and support service to all staff as directed by Relevant Company policies. Provision of a detailed booking and logging.

3. Car Parking Management

Log in and out all vehicles to prevent unauthorized access with vehicles appropriately registered and parking spaces allocated as required by Service Consumer’s

4. Conference &  Meeting Room Services

  • Room preparation

Ensure rooms are neat and tidy with furniture set out in accordance with building occupier requirements. White boards, flip charts, etc. are cleared of writing and markings, and consumables replenished ( i.e marker pens and paper)

  • Customer Assistance

Provide and maintain an easy to read ‘how to’ user guide within all conference and meeting rooms and provide help and assistance to room users Where        on-lines services are not provided support with the manual booking of rooms.

  • Equipment maintenance

Liaise with IT support services to ensure communication, visual, video conference and other media systems are operable and ca  bel management systems are kept tidy.

5.Residences Facility Management

  • Residence Management

Provide inventory management including caretaker services, clean checks, patrols, telephone services administration and bills management, and new flat/lease end inspection.

  • Furnishings

Arrange for the lease of residential furniture and furnishings

  • Swimming Pools

Cleaning and maintenance of swimming pools, (to be captured during scope validation)

  • Recreational Equipment

Maintenance of recreational equipment. (to be captured during scope validation)

6.Moves and Changes

  • Space Planning

General space management and planning including:

  • Recording occupied and available space
  • Recording and updating space occupied by business units following churn and moves
  • Reporting on space usage and efficiency

Provide up to date telephone lists to the switchboard following move event

  • Minor Moves and Changes

Minor moves of up to 15 people including the relocation of building occupier’s  personal effects, workplace furniture Deemed necessary within a single building minor moves exclude the management and co-ordination of any physical adaptation works. The services will include:

  • Capture requirements
  • Moves planning
  • Moves management and administration
  • Health and Safety Quality Assurance
  • Performance Reporting
  • Reporting on the volume and cost of moves
  • Accommodation records

Each move must be delivered to programmer in an accurate and efficient manner and must minimize disruptions to the user whilst taking due consideration for the Health and Safety of the user. Update the building Health and Safety file, all relevant risk assessments, site induction information and any other Health and Safety arrangements following moves.
